FieldOps (“we,” “our,” or “us”) is committed to protecting your personal information. This Privacy Policy explains how we collect, use, disclose, and safeguard information when you use our field operations management platform and related services (collectively, the “Service”).

By accessing or using the Service, you agree to the collection and use of information in accordance with this policy. If you do not agree with the terms of this policy, please do not access the Service.

2. Information We Collect

Account Information. When you register for an account, we collect your name, email address, username, and password (stored in hashed form). Administrators may also provide organization-level details such as company name and billing address.

Usage Data. We automatically collect information about how you interact with the Service, including log data (IP address, browser type, pages visited, timestamps), device information, and activity within the platform such as jobs created, forms submitted, and files uploaded.

Uploaded Content. Files, photos, form submissions, and other content you upload to the Service are stored on our behalf by cloud storage providers. We treat this content as confidential to your organization.

Communications. If you contact our support team, we retain records of that correspondence.

3. How We Use Your Information

We use the information we collect to:

• Provide, operate, and maintain the Service
• Process transactions and send related information
• Send administrative notices, product updates, and security alerts
• Respond to support requests and troubleshoot issues
• Monitor usage patterns to improve the platform
• Enforce our Terms of Service and other policies
• Comply with applicable laws and regulations

4. Sharing of Information

We do not sell, trade, or rent your personal information to third parties. We may share information with trusted service providers who assist us in operating the platform (such as cloud hosting and email delivery) under confidentiality obligations. We may also disclose information when required by law, court order, or governmental authority.

Within your organization, information is accessible to users according to the role-based access controls configured by your administrator. We are not responsible for how your organization’s administrators configure access within the Service.

5. Data Retention

We retain your information for as long as your account is active or as needed to provide the Service. If you request account deletion, we will delete or anonymize your personal information within 30 days, except where retention is required for legal obligations, dispute resolution, or enforcement of our agreements.

6. Security

We implement industry-standard technical and organizational measures to protect your information against unauthorized access, alteration, disclosure, or destruction. These include encrypted data transmission (TLS), hashed credential storage, and access controls enforced at the application layer. No method of transmission over the Internet or electronic storage is 100% secure, and we cannot guarantee absolute security.

7. Cookies and Tracking

The Service uses browser local storage to persist your theme preference and session tokens. We do not use third-party advertising cookies or cross-site tracking technologies. You may clear local storage through your browser settings, which may require you to sign in again.

8. Third-Party Services

The Service integrates with third-party infrastructure providers including cloud storage (S3-compatible object storage) and email delivery services. These providers process data on our behalf and are contractually bound to protect your information. Links to third-party websites from within the Service are not covered by this policy.

9. Your Rights

Depending on your jurisdiction, you may have rights to access, correct, export, or delete your personal information. To exercise these rights, contact your organization’s administrator or reach out to us at the contact information below. We will respond to verified requests within 30 days.

10. Children's Privacy

The Service is not directed to individuals under the age of 16. We do not knowingly collect personal information from children. If we become aware that we have inadvertently collected such information, we will take steps to delete it promptly.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of significant changes by posting the new policy on this page and updating the effective date. Your continued use of the Service after changes are posted constitutes your acceptance of the revised policy.
